How Package Images Help Dispute Carrier Charges

When a carrier applies a billing adjustment or denies a damage claim, the burden of proof falls on the shipper. Without evidence of what the package looked like — and how it was measured — at the point of shipment, disputes are difficult to win. Package image capture at the pack station changes that equation.

What Is Pack-Station Image Capture?

Pack-station image capture is a feature of modern AI-powered dimensioners that records a photograph of every package at the moment of measurement — alongside the timestamp, dimensions, weight, and barcode scan. The image is stored against the specific shipment record in your WMS or shipping platform and is retrievable whenever a dispute arises.

Disputing Carrier Billing Adjustments

Carriers apply billing adjustments when their facility scan produces different dimensions than what appears on the label. To dispute an adjustment successfully, you need to demonstrate that your declared dimensions were accurate at the point of shipment — not that the carrier is wrong, but that your measurement was correct before the package entered the carrier network.

A timestamped package image from an accurate dimensioner — showing the sealed package next to a dimensional reference — is the strongest evidence available. It establishes that the package was measured correctly, was properly sealed at the declared dimensions, and entered the carrier network in that condition. Carriers are more likely to reverse adjustments when this evidence is presented than when no evidence exists.

Disputing Carrier Damage Claims

Carriers also apply liability limitations when they determine that a package was inadequately packaged. If a package arrives damaged and the carrier claims it was improperly packed, they may deny or reduce the claim. A pack-station image showing the package properly sealed and in good condition before pickup is direct evidence against that determination.

In 3PL environments, this is particularly valuable. When a client disputes a damage claim, the 3PL needs to demonstrate that the package left the facility in good condition — separate from what the carrier may have done to it in transit. An image from the point of pack-out is the clearest way to establish that.

How to Build a Package Image Capture Workflow

  • Deploy a dimensioner with built-in image capture. Not all dimensioners capture images — confirm this is a standard feature, not an add-on, before purchasing.
  • Link each image to the shipment barcode. The image is only useful for dispute resolution if it can be retrieved by tracking number or order ID. Ensure your dimensioner’s image storage links to your WMS record.
  • Store images for at least 90 days. Carrier disputes and damage claims often arise weeks after shipment. Images need to be retained long enough to be useful.
  • Include image retrieval in your dispute workflow. Train your shipping team to pull the pack-out image as a first step whenever a carrier adjustment or damage claim arrives.
